Tracking corrections in Visio

When you are collaborating with others on a Visio project, it is easy to review and track changes that others make with the Reviewing tools. Each Reviewer can add shapes, comments or freehand annotations in the diagram and Visio will allocate a coloured overlay so that each Reviewer's changes may be easily identified. Any revisions can then be reviewed by the project leader and accepted or rejected as appropriate.

To see any changes that reviewers have made the Track Markup mode should be turned on. Click Track Markup from the Tools menu so that you can turn this mode on. A coloured band appears around the drawing workspace and both the Reviewing task pane and toolbar appear along with a message box that states the project is ready for review.

If you would like to edit the original drawing Track Markup mode must be switched off. Do this by clicking the Track Markup button at the bottom of the Reviewing task pane or go through the Tools menu again.

When Track Markup mode is active any changes are applied to the overlay. Nothing in the original drawing is modified until a shape is copied or moved from the overlay to the original layer.

Like most Microsoft Office applications, comments can be easily added to a drawing by using the Insert Comment command from the Reviewing task pane. If a Visio drawing has many pages and your comment refers to a specific page, that page should be selected before the comment is made. After typing your text click away to deselect the comment box.

New shapes may be added by dragging them from your stencil as normal. Shapes are identified with the reviewers Markup colour, and the words Shape Added are displayed in the Reviewing task pane. You can't change anyone else's revisions, it is easy to only delete or edit your own.

You can add freehand annotations and notes to a Visio diagram using a method referred to as "Ink". This allows handwritten notes and shapes to be added to a drawing; they could even be included with a custom stencil if you propose to reuse them. Using FreeHand markup is easy -- just use the Ink tool from the Reviewing toolbar. A small Ink toolbar appears, containing different link colours, a line width tool and an eraser. Choose the tool you would like to apply and use the mouse to draw or write whatever you want, and then select the pointer tool from the Standard toolbar when you're finished.

You can select which reviewers edits you want to see by clicking on the tab in the Reviewing task pane. To return to the default view, click the Original tab and choose Show All; to hide them all choose Hide All.

To update the drawing when comments and markup changes are added the Track Markup mode must first be turned off. Use the Track Markup on the Reviewing task pane to do that, then click the tab for the reviewer whose changes you want to add. Visio will select all the shapes on the tab by default, but if you do not need to add them all you may select the appropriate shapes using the mouse.

When you have selected the shapes you require click Copy, select the Original tab and choose Paste to paste the shapes into the centre of the drawing. They can simply be dragged into the appropriate position using the markup overlay as a reference point if required.

To quickly move from one markup to the next the Next Markup tool should be considered; this can be found on both the Reviewing task pane and toolbar. Mark up can be deleted with the Delete button on the same toolbar.
