Organization Charts and their uses

By: Dave Millard

An organization chart is a drawing that depicts the formal structure of an association along with the associations and relative ranks of its positions. It is a great way of showing comprehensive managerial hierarchies as well as defined employee profiles, department configuration, recent vacancies, newly hired personnel or all newly included or re-structured departments. A decent Organization Chart importantly displays the best way of interaction among separate departments and personnel.

Organizational hierarchy
Each corporation, whatever its size, has an organizational configuration of some sort. These can take a number of typical forms and the various versions have been categorized as follows:
· Hierarchical structure (typical for the small, entrepreneurial organization)
· Line-staff organization
· Functional or Divisional structure (based on purpose, products/service, customer type, geographic area)
· Matrix configuration (dual reporting lines).

Which type is used by an organization will depend on the circumstances and the construction of the company, although any of these formal structures can be visualized by creating an organization chart.

Uses of an organization chart
Having an organization chart aids new staff to comprehend what should occur within the firm, including obligations, communication channels and lines of authorization. However, a conventional organization chart can sometimes have difficulty when attempting to cope with the shifting boundaries brought about by outsourcing, IT, strategic alliances and the network economy. Using Microsoft Visio to generate one allows for the chart to adapt to adjustments of this kind, and as an out-of-date organization chart is not just worthless but can be damaging, this is a serious characteristic.

Managerial structure
Organizational charts express a lot regarding the organization at a glance including tasks, communication channels and lines of authority. These issues should be taken into account while picking which arrangement to adopt. An Organization Chart’s principal purpose is to aid a company analyst successfully picture the company structure along with the distribution of works when performing business analysis.

Diagramming applications
It isn’t essential to immerse yourself in a maze of essential organizational hierarchies or to "chalk-out" structure when utilizing software programs to produce an Organization Chart, as you just need to state the column & row headers, along with records you need to import and the Wizard will automatically generate a chart for you. Visio and other diagramming editors will define organizational hierarchies with specified credentials of each member of staff, categorized in his or her corresponding departments. It is even possible to accommodate large organizations by putting the shapes for each branch, section or division on individual sheets and linking them to a main overview page to simplify the process and make it possible for non-technical personnel to comprehend the structure.

Adding more information and editing the chart
When the chart is produced, it can be resized or moved to accommodate further elements. This makes it easy to edit the chart based on the most recent departmental adjustments, the latest starters and leavers in personnel and any mergers or changes due to economic conditions for instance outsourcing. Shadows can be added, change the fill color of the boxes, and change the border and line styles in your organization chart. Microsoft Visio has a tremendous assortment of supplementary formatting features, including Themes, Styles and Colour schemes which can personalize the chart, and a variety of different formats to facilitate sharing.

To summarise
When the United States was in its development stage and railways extended across fresh territories, extra miles of track were laid which made the railroads more costly to operate. Efficient planning and directorial organization might have reduced this, and furthermore, the management who needed to make certain that the structure was handled efficiently would have benefited by using organization charts.

The organization chart indicates how Western industry has progressed from being a “one-man” enterprise to grow to be a corporation in which the formation of organizational capabilities is needed for survival. The key purpose of an organization chart is to show the hierarchy of departments and personnel working in the business together with how they are interconnected and what the chain of command will be.
